Who can request changes to their scholarship?

If you’re already receiving a scholarship (even as a PhD student), you can ask for changes using the Scholarship Variation Request Form. This is only for requests outside of the normal rules.

Having trouble submitting online forms?

If the form isn’t working, try these steps:

  • Clear your browser’s cache and cookies.

  • Make sure your browser and device are updated.

  • Try a different browser (like Chrome, Firefox, or Safari).

  • Turn off any VPN you’re using.

  • Use a different device if possible.

Still not working? Then prepare this information before contacting the team:

  • The type of device you’re using

  • The operating system and version

  • The browser and version

  • A screenshot or message showing the problem

Missed the deadline to accept your scholarship?

You might still be eligible. Contact the scholarship office with your scholarship details to see what options are available.

How referees submit their references

When you apply through the MyWaikato portal, an email will automatically be sent to your referee. That email will include everything they need to complete and submit the reference.

You can check the status of your references in the Referee Responses section in your portal. If it says “pending,” your referee hasn’t submitted the reference yet.

Want to change your referee?

Go to the Scholarships section in MyWaikato and select Manage referees. There, you can:

  • Edit the referee’s name (but not their email).

  • Replace a referee (useful if you want to change the email).

If you replace a referee, the old one is notified, and the new one gets a fresh email request.

For school leaver scholarships, references are requested from your school after the closing date, and are due 10 days later.

Scholarship payments and enrolment

If your scholarship was awarded through MyWaikato:

Contact the university before accepting your enrolment agreement, so they can subtract the scholarship from your tuition.

If it’s an external scholarship:

Print your enrolment agreement, write the name of the scholarship on it, and email it to info@waikato.ac.nz or hand it in at the student center.

If your scholarship doesn’t cover everything, you’ll need to pay the rest using another method.

Refunds

To request a refund, go to the Finance tab in your portal and click Apply for a refund.

StudyLink refunds are processed automatically, but you can also request one through the portal.

When will I get the scholarship result?

It usually takes about 6 to 8 weeks after the deadline. You’ll get a message in your MyWaikato inbox once a decision is made.

How to track your applications

In your portal, under Scholarships, you can:

  • See all your applications

  • Check if your references are submitted

  • Continue incomplete applications

  • Withdraw applications

Received more than one scholarship offer?

If you’re not allowed to accept both, contact the scholarship office. They’ll help you choose which one is best based on what each offer includes.

Getting paid

If your scholarship includes money:

  • You’ll need to enter your bank account details when you accept the offer.

  • You’ll see the payment schedule in your portal.

  • Payments usually arrive the Wednesday after the listed date.

If you don’t get paid by Friday, contact the support team.

Taxes and scholarships

Scholarship payments might have tax rules. You should speak to a financial advisor to understand your situation. You can also visit New Zealand’s official legislation website for more info.

Reapplying for a PhD scholarship

If you didn’t get the PhD scholarship:

  • You can start your studies now and wait for a possible shorter-term scholarship.

  • Or, you can apply again in the next round.

No new documents will be accepted for your second application. If you’ve completed new work (like a paper or qualification), tell your supervisor—they can include it in the review.

How to Apply for a Scholarship at Waikato – In 5 Easy Steps

Step 1: Before You Start

  • Read the rules for each scholarship

  • Check if you’re eligible

  • Collect all needed documents

  • Some scholarships need different versions of documents

Step 2: Set Up MyWaikato

  • Apply to enrol at Waikato (no need to study yet)

  • Make a MyWaikato account

Step 3: Pick Scholarships

  • Log in to MyWaikato

  • Go to the Scholarships tab

  • Find a scholarship

  • Click “Apply Now”

  • Apply separately for each one

Step 4: Fill Out Your Application

  • See what documents are needed

  • Fill out all sections

  • Add referees (they get emails to submit)

  • Write your answers (max 2000 characters)

  • Upload documents

  • Click “Submit Application” and then “Done.”

  • You can still edit it before the deadline

  • To withdraw, click “Withdraw Application.”

  • If you cancel by mistake, email scholarships@waikato.ac.nz

Step 5: After You Submit

  • Track your applications in MyWaikato

  • If it says “Incomplete”, finish and submit it

  • Check if your referees submitted

  • Schools send references after the deadline (due in 10 days)

  • Results take 6–8 weeks—you’ll get a message in your portal
